Auto Repair Shop Hiring Platform: How Promotive Works
Promotive is an auto repair shop hiring platform built around one idea: you should only pay for the help you actually need. Here are the questions shops ask us most about how it’s put together.
What do I actually get?
Three layers, and you turn on only what you need. The Platform holds your account and your hiring records. Screen puts your jobs live and qualifies everyone who applies. Recruit is when our team runs the search for you.
Do I have to buy all three?
No. Every account has the Platform. Screen and Recruit are yours to turn on and off as your hiring changes. (with minimum terms taking effect)
What is the Platform for if I am not hiring right now?
It keeps your job records, your history and everyone we have ever presented to you in one place, so when you do need to hire you are not starting from scratch. Additional features will be released soon allowing you to post a job yourself and build a bench!
Who can log in?
Every manager and every location, on one account.
Is this a job board?
No- but we do have our own job board too which we utilize in attracting candidates like other job board providers. But beyond having a job board presence, we also put your job in front of automotive professionals, qualify the ones who respond, and at Recruit we go find people who are not looking at job boards at all.
How fast does this work?
We can’t make assurances across the board- but we’ll talk to you about the reality of your specific circumstances. We can get you set up quickly and post your jobs, but applicant flow will vary depending on market, job title, compensation and culture among other things.
Screening: How Promotive Qualifies Applicants
Screening is the step between someone applying and you deciding whether to spend time on them. Here’s how ours works.
What does “screened” mean?
Screen means the applicant has taken an additional step beyond applying to share more about themselves.
Who does the screening?
Paige, our AI recruiting agent. She runs a structured discovery shaped by the person’s background, so two B techs get the same questions and you can compare them side by side. Paige uncovers experience, diagnostic skills, availability and much more.
Is that a robot calling my applicants?
The other way around. Applicants call in to Paige when it suits them, which is usually why they finish the conversation at all.
Why not just have a person do it?
A person forgets to ask something on the fourth call of the day. Paige does not, and she is available at 9pm when a tech finally has a minute.
Do I see everyone, or only the ones you pick?
You see everyone who applies. The qualified ones are just easier to find.
Can I still talk to people myself?
Yes. Using Screen, you work them yourself, we just help you see and prioritize who is in front of you, so you can decide how to spend your time and effort.
Recruiting: How Promotive Recruit Works
Recruit is automotive technician recruiting done by our team, not just by your job post. Here’s what that actually means in practice.
What is different about Recruit?
Everything in Screen, plus we go get people who are not applying to anything. Sourcing, direct outreach, interview scheduling, and help through the offer.
Who is my point of contact?
A dedicated Account Manager – one person at Promotive who knows your shop and works your role.
Why is Recruit three months?
You are holding a slot – dedicated capacity on our team – for three months, and it is worked from day one. What takes time is the market responding, not us starting.
What if you fill it in three weeks?
Then you have ten weeks of a recruiter still working for you. Your Account Manager points the slot at your next hire – most shops have one they have been putting off. We can also continue to work the current pipeline if we need to have contingency plans in place for you. Its a conversation between you and the Account Manager.
What if I fill the role myself, or pull it?
Same answer. The slot stays yours and moves to another role. It does not matter why the first one closed.
What if you do not fill it at all?
Then we will have told you why, early. If a role is not moving, your Account Manager helps you determine what might be in the way and works with you to change it. We would rather say that in week three than let you burn three months.
Do you guarantee a hire?
No, and be careful with anyone who does. What we commit to is that the slot is worked the whole term and you see the pipeline the whole way.
Why can I not just start today?
Slots are limited because each one is a real person’s hours. We also want to qualify your Shop to make sure that we feel confident we can help you.
Is the limit real, or a sales tactic?
It is real – just like you have to manage car count in your shop. We cap slots so the searches we take on actually get worked.
Can I hold two slots?
If available, yes. That means two roles worked at once instead of one after the other. Your Account Manager will work with you to get the jobs added.
Pricing and Terms of Commitment
This section is designed to work alongside your order form to give you clarity on the pricing terms and commitment length when working with Promotive.
Pricing
What does it cost?
Your Order Form has your exact numbers. The shape of it: a monthly Platform fee, a monthly fee for whatever you turn on (ie: screen), a one-time setup fee, and a candidate acquisition budget on each active job.
Is there a placement fee?
No. You are not billed when someone starts. Placement fees could point us towards the easier to fill jobs vs. the ones that need the extra help, and it made shop owners weigh our candidates unfairly- adding the placement fee amount as an extra deciding factor.
So is this cheaper or more expensive?
It depends on how you use it and your specific circumstances. With the new model, you pay for the platform, candidate acquisition, and the level of support you choose for each Job. Recruit has a monthly Job fee instead of a placement fee when you hire. Your monthly bill may be higher while recruiting, but your total cost could be lower- especially if you make multiple hires.
The bigger shift from our legacy Full Service model is timing. Previously, we billed after a candidate was hired. Now, we’re billing while we’re doing the work, ensuring everyone is motivated to deliver qualified, hireable candidates, even for hard-to-fill roles.
Overall, we want you to use the right channels to find the right people. Some roles will be faster and less expensive to fill using our digital services, others will be as or more expensive using our human-recruiting team. The goal isn’t to get you to spend more, it is to get you the hiring outcomes you need.
What is the candidate acquisition budget?
It is what we spend advertising your role and reaching automotive professionals, including the ones already in our database. We manage and optimize it. For Screen Jobs, it primarily funds advertising across job platforms and reaching candidates in our database. For Recruit Jobs, it supports broader advertising, sourcing, and outreach. Both include managing and optimizing that spend. Harder roles and tighter markets may need a higher budget, which we’ll discuss and agree with you in advance.
Is that not what I am paying you for?
The monthly fee is our people and technology. The acquisition budget is media. We keep them separate so you can see where the money goes.
Can it go up?
On a harder role or a tighter market, it may need to and we will discuss and agree that with you in advance, never after.
What is the setup fee for?
Standing your shop up across our systems and getting your jobs ready to run. One time, and it is billed shortly after you sign.
When am I billed?
On the schedule on your Order Form, starting within a few days of signature. Same date each period after that.
Will my price change mid-term?
Not during your initial term, unless you change what you have turned on. If we change fees generally, you get notice first – normally at renewal, at least 45 days ahead.
Terms of Commitment
How long am I signed up for?
Typically 90 days to start, then month to month. Recruit carries its own three-month commitment.
What if I cancel early?
Inside the first 90 days, the remaining balance of those 90 days is due. After the initial term, the contract continues month-to-month.
Do I have to tell you?
Yes – billing does not stop on its own. Submit a cancellation request to support@gopromotive.com. Requests need to be submitted in writing.
Can I come back later?
Yes it we mutually agree its a good fit. A new setup fee may apply. However, if you have a Recruit slot, there is no guarantee that there will be a slot available at a future date.
Can I turn jobs off without cancelling?
Yes. Turn your jobs off when you are not hiring but keep your bench running- so you’re never starting at zero again.
Candidate Placement
What if someone does not work out?
Unfortunately, turnover is one of the issues that hurts shop owners and candidates alike. We want you to have that “always hiring” mindset, so hopefully you are ahead of the game. If a candidate you hired from a Recruit job doesn’t work out, we’ll be happy to re-open and work that job again if there is a job slot available. If there is not a slot available, you still have access to the candidates we worked on during the first round, so you can start there, as well as open a Screen job to get things going for a backfill.
Do you guarantee they will stay?
No. Nobody honestly can (and you should question the people that offer this). But with our adjusted structure, we hope it aligns us all to find the best candidate for your shop.
What if someone applies to my ad and yours?
We don’t want you to post your own ads- the point of working with us is to not work against yourself. Posting yourself means your ad spend is fighting against you. But, if someone were to reach out to you directly- great- ultimately we want you to hire the right person for you.
Can I go back to someone you sent me months ago?
The bench is a great place to keep people that previously didn’t work out (whether for your reasons or theirs). But whether you have saved them to your bench or they are just a former applicant, you candidates are yours to contact and stay in touch as often as you want, we recommend you do! (bench coming soon)
What do you need from me?
Honest numbers at intake, fast feedback when people are in process, and a competitive offer at the end. Speed is the single biggest reason shops land someone or lose them.
